These Terms constitute a legally binding contract between you and Management Hub Ltd. If you do not agree to these terms, you must not use our Service. We recommend printing or saving a copy of these Terms for your records.
1. Agreement to Terms
By accessing or using Management Hub (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.
These Terms constitute a legally binding agreement between you ("User", "you", or "your") and Management Hub Ltd ("Company", "we", "us", or "our"), a company registered in England and Wales.
Effective Date: These Terms are effective as of December 2025.
Eligibility: You must be at least 18 years old and have the legal capacity to enter into binding contracts to use this Service. By using the Service, you represent and warrant that you meet these requirements.
2. Description of Service
Management Hub provides a cloud-based property management platform designed for UK landlords and property managers. The Service includes:
Core Features: • Property portfolio management and tracking • Tenant information management and CRM • Rent payment tracking and reminders • Document storage and management • Dedicated email address (@managementhub.ai) • Calendar and compliance certificate tracking • AI-powered daily summaries and insights
Subscription Service: The Service is provided on a subscription basis, billed per property per month. Features and pricing are subject to change with reasonable notice.
Service Availability: We aim to maintain 99.9% uptime but do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible.
3. User Accounts
Account Creation: To use the Service, you must create an account by providing accurate, complete, and current information. You are responsible for maintaining the confidentiality of your account credentials.
Account Security: • You must use a strong, unique password • You must not share your login credentials • You must notify us immediately of any unauthorised access • You are responsible for all activities under your account
Account Suspension: We may suspend or terminate your account if: • You violate these Terms • You fail to pay subscription fees • You engage in fraudulent or illegal activity • Your account poses a security risk
Account Deletion: You may delete your account at any time through account settings. Upon deletion: • Your access will be terminated immediately • Your data will be retained for 30 days, then permanently deleted • Some data may be retained longer for legal compliance
4. Subscriptions and Payment
Subscription Plans: The Service is offered on a per-property subscription basis. Current pricing is available at managementhub.ai/pricing and may be updated from time to time.
Free Trial: New users may be eligible for a 7-day free trial. Credit card information is not required for the trial period.
Billing: • Subscriptions are billed monthly in advance • Payment is processed via Stripe (PCI-DSS compliant) • Prices are in GBP and include VAT where applicable • Failed payments may result in service suspension
Price Changes: We reserve the right to change subscription prices with 30 days' notice. Existing subscribers will be notified by email before any price increase takes effect.
Refunds: Refunds are generally not provided for partial subscription periods. However, we may offer refunds at our discretion in exceptional circumstances.
Cancellation: You may cancel your subscription at any time. Access continues until the end of the current billing period.
5. Acceptable Use Policy
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must NOT:
Illegal Activities: • Use the Service for any unlawful purpose • Violate any applicable laws or regulations • Engage in fraud, money laundering, or other criminal activity
Harmful Content: • Upload malware, viruses, or malicious code • Store or transmit illegal, defamatory, or harmful content • Infringe intellectual property rights of others
System Abuse: • Attempt to gain unauthorised access to our systems • Interfere with or disrupt the Service • Reverse engineer or decompile any part of the Service • Use automated systems to access the Service without permission
Data Misuse: • Collect or harvest user data without consent • Use the Service to send spam or unsolicited communications • Store or process data in violation of data protection laws
Violation of this policy may result in immediate account termination without refund.
6. User Content and Data
Your Content: You retain ownership of all content you upload to the Service ("User Content"), including documents, tenant information, and communications.
Licence Grant: By uploading User Content, you grant us a limited licence to store, process, and display your content solely for the purpose of providing the Service.
Content Responsibility: You are solely responsible for: • The accuracy and legality of your User Content • Obtaining necessary consents for personal data you upload • Ensuring you have rights to upload the content • Complying with applicable laws regarding the content
Data Processing: We process your data as described in our Privacy Policy. By using the Service, you acknowledge and agree to our data processing practices.
Backups: While we maintain regular backups, you are responsible for maintaining your own copies of important documents and data.
7. Email Service Terms
Dedicated Email Address: Subscribers receive a unique email address in the format yourname@managementhub.ai.
Email Usage: • The email address is for property management communications only • You must not use it for spam, bulk marketing, or illegal purposes • All emails are logged and stored as part of your CRM • Email storage counts towards your storage quota
Email Retention: • Emails are retained for the duration of your subscription • After account termination, emails are deleted after 30 days • You can export your emails before account deletion
Email Delivery: We use industry-standard email infrastructure but cannot guarantee delivery to all recipients. Factors outside our control (spam filters, recipient settings) may affect delivery.
Prohibited Email Use: • Sending unsolicited commercial emails (spam) • Impersonating others or misleading recipients • Distributing malware or phishing content • Violating email laws (PECR, CAN-SPAM)
8. Intellectual Property
Our Intellectual Property: The Service, including its design, code, features, and content, is owned by Management Hub Ltd and protected by intellectual property laws. You may not: • Copy, modify, or distribute our software • Use our trademarks without permission • Create derivative works from our Service • Sublicense or resell access to the Service
Trademarks: "Management Hub", our logo, and related marks are trademarks of Management Hub Ltd. You may not use these marks without our written permission.
Feedback: If you provide suggestions or feedback about the Service, you grant us a royalty-free, perpetual licence to use such feedback to improve our Service.
Third-Party Content: The Service may include third-party content or integrations. Such content is subject to the respective third parties' terms and conditions.
9. Disclaimers
Service Provided "As Is": THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED.
No Warranty: We do not warrant that: • The Service will be uninterrupted or error-free • Defects will be corrected • The Service is free of viruses or harmful components • Results obtained will be accurate or reliable
Professional Advice: The Service is a tool for property management and is not a substitute for professional legal, financial, or tax advice. You should consult qualified professionals for such matters.
Compliance: While we aim to help you stay compliant with UK property regulations, you are responsible for ensuring your own legal compliance. We do not guarantee that using the Service will ensure regulatory compliance.
Third-Party Services: We are not responsible for the availability, accuracy, or content of third-party services integrated with our Service.
10. Limitation of Liability
Maximum Liability: TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR ANY CLAIMS ARISING FROM OR RELATED TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.
Exclusions: WE SHALL NOT BE LIABLE FOR: • Indirect, incidental, special, or consequential damages • Loss of profits, revenue, or business opportunities • Loss of data or data corruption • Damages arising from your use or inability to use the Service • Damages caused by third parties or force majeure events
Exceptions: Nothing in these Terms excludes or limits our liability for: • Death or personal injury caused by our negligence • Fraud or fraudulent misrepresentation • Any liability that cannot be excluded by law
Indemnification: You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your violation of these Terms or misuse of the Service.
11. Termination
Termination by You: You may terminate your account at any time by: • Cancelling your subscription in account settings • Requesting account deletion • Contacting our support team
Termination by Us: We may terminate or suspend your account immediately, without prior notice, if: • You breach these Terms • You fail to pay subscription fees after notice • We are required to do so by law • The Service is discontinued
Effect of Termination: Upon termination: • Your right to access the Service ends immediately • Your data will be available for export for 30 days • After 30 days, your data will be permanently deleted • Provisions that should survive (IP, liability, disputes) will remain in effect
No Refund: Generally, no refunds are provided upon termination. Exceptions may be made at our discretion.
12. Changes to Terms
Right to Modify: We reserve the right to modify these Terms at any time. Changes will be effective upon posting to our website.
Notification: For material changes, we will: • Notify you by email at least 30 days before the changes take effect • Post a prominent notice on the Service • Update the "Last Updated" date on these Terms
Acceptance: Your continued use of the Service after changes take effect constitutes acceptance of the new Terms. If you do not agree to the changes, you must stop using the Service and cancel your subscription.

13. Governing Law and Disputes
Governing Law: These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.
Jurisdiction: You agree that any dispute arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Class Action Waiver: You agree to resolve disputes individually and waive any right to participate in class actions or representative proceedings.
Time Limit: Any claim relating to these Terms must be brought within one year of the cause of action arising, except where prohibited by law.
14. General Provisions
Entire Agreement: These Terms, together with our Privacy Policy and any other policies referenced herein, constitute the entire agreement between you and us regarding the Service.
Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
Waiver: Our failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.
Assignment: You may not assign or transfer your rights under these Terms without our written consent. We may assign our rights and obligations without restriction.
Force Majeure: We shall not be liable for any failure or delay in performance due to circumstances beyond our reasonable control, including natural disasters, war, terrorism, or infrastructure failures.

Relationship: These Terms do not create any partnership, employment, or agency relationship between you and us.
